The short version

  • Welcome guide: sent after booking, laying out what happens next and when.
  • Session planning: if your collection includes one, your client experience team helps you plan the location, timing, and direction.
  • Wedding timeline guide: we help shape your wedding-day photography timeline around your coverage and priorities.
  • Wedding questionnaire: your final details, family photographs, vendors, and priorities come together in one place.
  • Team introduction: once your questionnaire is complete, you are formally connected with your full wedding-day team.
  • Optional conversation: you can schedule a phone or Zoom conversation with your team before the wedding, if you would like one.
  • Response time: within two to three business days on questions sent during planning.

What happens after I book a wedding photographer?

You receive a welcome guide, and from there the process moves through session planning (when a session is included), a wedding-day timeline guide, a wedding questionnaire, and a formal introduction to your full team, with an optional conversation before the wedding.

Each stage is sequenced deliberately. Early stages focus on planning and getting to know how you want your day to look; later stages focus on the specific details of your wedding day itself. You are never asked for wedding-day details before it makes sense to have them, and you are never left waiting to hear what is coming next.

The goal is the same at every stage: by the time your wedding arrives, nothing about the plan is still being figured out.

What is the welcome guide?

The welcome guide is the first thing you receive after booking, and it lays out what happens next and roughly when. It introduces your client experience team, explains the stages ahead — session planning where relevant, the timeline guide, the questionnaire, and team introductions — and gives you a clear sense of what you need to do and what we handle.

It exists so booking does not feel like the end of communication. Couples often book months, or more than a year, before their wedding date, and the welcome guide is designed to make that gap feel structured rather than quiet.

From there, the next steps follow the order in the table further down this page.

When do we plan the engagement or portrait session?

Session planning happens early, soon after your welcome guide, if your collection includes a session. Your client experience team works with you on location, timing, light, and overall direction before the session takes place.

Because the session is photographed by your own lead wedding photographer, session planning also becomes an early opportunity to talk through what you are drawn to stylistically — direction you love, moments you want to feel candid, how much posing you want versus how little. That conversation carries forward into how your wedding day is planned later.

There is more on what happens at an engagement or portrait session, including timing and what to expect on the day itself.

When do we build the wedding-day timeline?

The wedding-day timeline is built during wedding planning, using a timeline guide that helps shape your coverage around the moments that matter most to you. This happens well ahead of the wedding day itself, once your date, venue, and coverage are settled.

The timeline guide walks through getting-ready coverage, family photographs, portraits, and how much time each part of your day realistically needs, based on your venue, guest count, and the collection you booked. It is a starting point for a conversation, not a form you fill out alone.

There is more detail on how we build a wedding-day photography timeline, including how coverage hours are typically allocated.

What is the wedding questionnaire?

The wedding questionnaire is where your final wedding-day details, family photograph list, vendor information, timing, and priorities all come together in one place, ahead of your wedding day.

It is completed closer to the wedding than the welcome guide or the timeline guide, once most of your planning decisions are settled. Your client experience team uses it to prepare your photographer and full team with everything they need to know before they arrive — names for family photographs, the order of the day, other vendors they will be coordinating with, and anything specific to your venue.

Completing the questionnaire is also what triggers the next stage: your formal team introduction.

When do I meet my full wedding team?

Your full wedding-day team is formally introduced once your wedding questionnaire is complete. This is when you are connected with everyone who will be part of your wedding day, not only your lead photographer.

If your collection includes a session, you have usually already spent time with your lead photographer by this point. The team introduction fills in the rest of the picture — a second photographer and/or filmmaker if your collection includes them, and confirmation of how the day will run.

If your collection does not include a session, this introduction is the first time you hear directly from your wedding-day team, which is why the option of a conversation beforehand matters just as much for these couples.

Can I talk to my team before the wedding?

Yes. After your team introduction, you have the option to schedule a phone or Zoom conversation with your team before the wedding, if you would like one.

Some couples want to talk through a specific detail — a family dynamic to be aware of, a timing concern, a particular shot list item. Others simply want to put a voice to the names they have been emailing with. Either reason is a good one.

The conversation is offered, not required, because by the time it is available, your questionnaire has already captured the details your team needs to do their job well. It is there for your peace of mind as much as for logistics.

Who is my point of contact at each stage?

Your point of contact changes as you move through planning, because different stages call for different expertise, and your client experience team leads nearly all of it before the wedding day itself.

StageWho you hear from
Welcome guideYour client experience team.
Session planningYour client experience team.
Your sessionYour lead photographer, in person.
Wedding timeline guideYour client experience team.
Wedding questionnaireYour client experience team.
Team introductionYour full wedding-day team, including your lead photographer.
Optional conversationYour wedding-day team, by phone or Zoom.
Wedding dayYour photographer and event team, in person.

Your client experience team is the constant thread through planning, so a question in month three and a question in month nine go to the same place.

How quickly can I expect a response after I book?

Within two to three business days. That is the commitment on questions sent to your client experience team during planning, and it is deliberately a window we can hold every week of the year rather than a best case that only holds in February.

Anything genuinely time-sensitive — a venue deadline, a change of date, something happening in your wedding week — goes through the emergency ticket route or the phone line rather than sitting in an inbox. Those are answered on a different clock.

This applies to the planning period covered on this page: welcome guide through team introduction. Wedding-day communication and post-production communication follow their own timelines, covered on our contracted delivery windows.

We would rather publish one clear number than leave you guessing how long to wait before following up.

What if I have a question six months before my wedding?

You reach out to your client experience team, the same team who sent your welcome guide and who will guide you through the timeline guide and questionnaire later.

You do not need to wait for a scheduled stage to ask a question. If something comes up — a venue change, a guest-count shift, a new family detail — your client experience team is the place to bring it, and it gets folded into your planning documents as they are built.

This is also why the sequence on this page exists: the welcome guide, session planning, the timeline guide, and the questionnaire are spaced out deliberately so that by the time your full team is introduced, everything they need has already been gathered — rather than assembled all at once in the final weeks before your wedding.

There is more on who photographs your wedding and how your lead photographer is matched if you want the fuller picture of how planning connects to your wedding day.
